As the
Business Administration Manager at EdgeUno, you will play a pivotal role in ensuring the smooth operation of administrative functions within the organization.
Core Responsibilities
Office Management:
- Develop and implement office policies and procedures to promote a safe, efficient, and productive work environment.
- Supervise the office management team, providing guidance and support as needed.
- Oversee the maintenance, cleanliness, and functionality of all office facilities including workspaces, meeting rooms, kitchen areas, and common areas.
- Manage office supplies inventory, procurement, and vendor relationships.
- Oversee office space allocation, layout, and utilization to optimize efficiency and accommodate organizational needs.
- Ensure compliance with health and safety regulations and emergency preparedness protocols.
- Monitor compliance with safety regulations and conduct regular safety inspections.
Executive Assistance Support Oversight:
- Supervise the executive assistance support team, providing direction and mentoring to ensure highquality support to executives.
- Coordinate executive calendars, meetings, and travel arrangements as needed.
- Serve as a point of escalation for complex or sensitive issues requiring executive attention.
Travel Support Oversight:
- Lead the travel support efforts in coordinating travel arrangements for employees, including flights, accommodations, transportation, and visas.
- Establish and enforce travel policies and guidelines to ensure compliance and costeffectiveness.
- Monitor travelrelated expenses and reconcile invoices to maintain budgetary control.
- Provide guidance and assistance to the travel support team in resolving travelrelated issues and emergencies.
Budget Management and Cost Control:
- Develop and manage departmental budgets, ensuring alignment with organizational goals and financial targets.
- Monitor expenses, analyze variances, and identify opportunities for cost savings and efficiency improvements.
- Review and approve expenditures, contracts, and vendor agreements by budgetary guidelines.
- Collaborate with finance and accounting teams to ensure accurate reporting and forecasting of expenses.
Maintenance and Facilities Management:
- Oversee maintenance and repair activities for office facilities, equipment, and infrastructure.
- Coordinate with facilities management vendors and service providers to ensure timely resolution of issues.
- Conduct regular inspections to assess the condition of facilities and address any maintenance concerns.
Requirements:
- Proven experience in office management, executive assistance support, and travel coordination, in a supervisory or managerial role.
- Strong leadership and team management skills, with the ability to motivate and develop a diverse workforce.
- Excellent communication, interpersonal, and problemsolving abilities.
- Proficiency in budget management, financial analysis, and cost control principles.
- Knowledge of relevant regulations and best practices in office management, travel management, and facilities maintenance.
- Ability to prioritize tasks, meet deadlines, and adapt to changing priorities in a dynamic environment.
- Effective communication skills, both written and verbal in English. Spanish and/or Portuguese is desirable.
