    Position: Administrative Assistant

    Reports to : Account Receivable Manager

    Working Hours : M-F, 7:00am- 4:00pm PST or 8:00am- 5:00pm PST

    Salary : 1,200USD

    Type of contract : Independent contractor

    Summary of Position:

    As an Administrative Assistant for Accounts Receivable, you will play a crucial role in ensuring the smooth operation of our financial processes. Reporting directly to the Accounts Receivable Manager, you will be responsible for managing outstanding debts, handling compliance documentation, updating reports, and supporting overall business operations. This role offers an opportunity to collaborate with cross-functional teams, communicate effectively with clients, and contribute to the improvement of our business processes.

    Responsibilities

    • Follow up with clients via phone or email to discuss their outstanding debt and overdue
    • payments.
    • Review and submit business licenses.
    • Handle all compliance documentation required by the customer prior to payment.
    • Update A/R reports with account activity each day.
    • Collaborate with management to help improve Business Operations processes.
    • Attend weekly meetings with the Business Operations team to provide updates on tasks
    • and deadlines.
    • Support the Accounts Receivable Manager in any way to ensure program operations run
    • smoothly.
    • Other duties as assigned

    Requirements

    • At least 1-2 years of experience in an administrative assistant or related role is preferred.
    • Ability to understand and utilize accounting software for accounts receivable functions.
    • Proficiency in utilizing databases and spreadsheets for data management.
    • Advanced communication skills: clear and concise written and verbal.
    • Attention to detail in tasks and assignments.
    • Proficiency in Excel/Google Sheets functionalities.
    • Work effectively within a team environment, collaborating with colleagues in the accounts receivable department.
    • Maintains a constructive and supportive attitude towards colleagues and projects.
    • Adaptability to changing priorities and tasks.
