Monday to Friday 8:00AM to 6:00PM

Must have:

Previous experience as an executive assistant, 1 year minimum
:


  • Additional requirements include an Associate degree in Business, Management or related property management field or equivalent experience, proficiency in writing and speaking English, intermediate knowledge of Word and Excel, and customer service skills.
  • Ability to build relationships with employees, clients, and vendors.
  • Demonstrated ability to prioritize, multitask and utilize resources to execute tasks within a deadlineoriented environment.
  • Strong customer service skills with the ability to interface with Board Members, owners, employees, vendors, and management.
  • Demonstrated ability to draft quality, well written letters, reports, and memos.
  • Required Knowledge: PC Literate (internet, Word, Outlook, Excel, Microsoft Office).

Job description:


Responsibilities:


  • The Executive Assistant's primary responsibility is functioning in a support role to executive leadership.
  • This position requires proactive project management of special projects, the ability to maintain business reports and confidential information, and the ability to effectively prioritize responsibilities.
  • The Executive Assistant, supports The Director of Special Projects.
  • Maintain emergency after hours list for Sno-King Maintenance (on call/afterhours vendor).
  • This role works to meet the administrative demands while also supporting with business development and transaction management.
  • Manage Home Wise Docs: o Checking and loading documents o Working with the Community Association Managers and Accountants to get missing items o Reviewing resales o Updating templates as needed o Enforcing Community Association Managers and Accountants to review the resales.
  • Follow with owners on status of repairs:
  • Update internal lists/documents:
  • Help with Onboarding new clients and loading documents and filling out templates (set up).
  • Send out eblasts to owners and employees as directed:
  • Order and maintain office supplies.
  • Maintain office equipment inventory:
  • WSCAI renewals and event and class signups.
  • Non-Profit Renewals and Registered agent:
  • Tracking sheets (Budgets, Annual Meetings, Insurance):
  • Manage calendars including scheduling client, team, and other meetings and/or events.
  • Assistant with updating and tracking new processes and procedures, and training.
  • Help with Community Association Manager's meetings agendas and training classes:


  • Clockify

  • review time and reminders.
  • Working on projects as requested:
  • Assist in preparing for Board Meetings, sales calls.
  • These functions are performed regularly, seriously impacts other jobs, and there are a limited number of employees to whom performance of the function can be distributed.
