    Job Title: Sales Assistant / Executive Assistant
    Location:
    Remote (EST Timezone)

    Work Schedule: Monday - Friday, 08:30 AM - 05:00 PM (EST)

    Job Description:

    We are seeking a Sales Assistant / Executive Assistant to support daily operations and assist the sales team in providing excellent customer service. This role will involve handling various administrative tasks and supporting sales functions to ensure smooth business operations.

    Key Responsibilities:

    1. Answer Phone Calls:
      • Respond to incoming calls promptly and professionally, directing inquiries to the appropriate person or department.
    2. Email Correspondence:
      • Manage email communication efficiently, including responding to inquiries, scheduling appointments, and sending follow-up messages.
    3. Note Taking:
      • Take accurate and detailed notes during meetings, discussions, and phone calls, ensuring important information is documented and accessible.
    4. Appointment Scheduling:
      • Coordinate schedules and appointments for the sales team, ensuring efficient use of time and resources.
    5. Proofs and Estimates:
      • Assist in the preparation and distribution of proofs and estimates to clients, ensuring accuracy and timely delivery.
    6. Follow-Up:
      • Follow up with clients regarding estimates, orders, and other inquiries to ensure customer satisfaction and prompt resolution of issues.
    7. Order Processing:
      • Learn to process simple orders under the guidance of the sales team, ensuring accuracy and adherence to company procedures.
    8. Accounts Receivable Follow-Up:
      • Assist in accounts receivable activities, including following up on outstanding invoices and resolving payment issues as needed.

    Additional Requirements:

    • Strong organizational and time management skills.
    • Proficiency in Google Suite for email management, document creation, and scheduling.
    • Excellent communication and interpersonal skills.
    • Ability to work independently and collaborate effectively with team members.
    • Previous experience in administrative or sales support roles preferred.
