Job Description

As an Accounts Payable Associate, you'll be a key player in supporting the accounting department under the guidance of the Accounting Manager and Controller. Your main goal will be to deliver exceptional service to both internal and external stakeholders. Your primary responsibilities will include processing invoices received via email, entering them into the system with meticulous attention to detail, updating records, posting transactions, and scheduling payments. You'll also be involved in handling special projects to ensure smooth operations.

Process all invoices from the AP email inbox
Accurately input vendor invoices into accounts payable software
Handle credit card transactions for the Procurement Credit Card used by accounts payable
Schedule and prepare checks and ACH payments to vendors
Research and resolve inquiries in the AP email inbox
Provide support to employees and vendors to resolve invoice discrepancies and issues
Ensure compliance with IRS guidelines for independent contractors
Review outstanding checks issued by accounts payable and resolve stale dated checks
Initiate/release wire/ACH payments and contribute to the annual audit
Perform any other duties as assigned

Requirements

Building Blocks: Key Qualifications

1 to 3 years of dedicated accounts payable experience
Proficiency in Microsoft Office tools, especially MS Outlook, Word, and Excel
Prior experience in payable accounting
Basic understanding of Generally Accepted Accounting Principles
Strong character, good judgment, motivation, and hard work ethic
Ability to collaborate effectively with colleagues, clients, and vendors
Excellent communication skills and professional work habits
