Job Description (Roles and Responsibilities)Main Purpose of Job:
To support His Majesty's Ambassador (HMA) and Deputy Head of Mission (DHM) Private Office, a central department to the British Embassy Bogota.
This includes coordination of residence events, management and updating of databases, supporting organisation for meetings, working closely with all Embassy departments, mainly with HMA and DHM.
The internship minimum time is 6 months, but is strongly desirable 1-year availability.Roles and Responsibilities:
Residence Events (60%):
- Serves as the main point of contact in Private Office for the coordination, planning and delivery of residence events.
- Supports the Residence Manager with request forms, charging instructions, nameplates and seating plans.
- Supports the Private Office on issuing official invitations for residence events including follow up and confirmation, keeping adequate records and information management of all events.
Administrative Tasks (40%)
- Continuously updates office databases, following all GDPR and information management guidelines.
- Supports the Chief of Staff and Executive Assistants with daily requests.
- Supports administrative requirements of the Private Office
- Coordinates an uptodate list of Embassy programmes, visits and other activities outside of Bogota
- Responsible for the organisation and IT requirements for all recurrent meetings and as required by Private Office.
- Translations requests (English-Spanish/Spanish-English) at Private Office request.
- Responsible, good communication and customer service oriented.
- Capacity to work in highpaced environments, flexible to changes and able to work as part of a team.
- Good time management and prioritization skills.
- Fluent in both written and spoken English and Spanish.
- Available fulltime and able to work sporadically on evenings when events requires it.
- Good knowledge of current national and international affairs, diplomacy and protocol
Desirable qualifications, skills and experience
- Good Knowledge of Microsoft Office 365 (MS Teams, Outlook, Excel, Word, Power Point, OneNote)
- Graphic design skills and familiarity with design software
- Knowledge of UK Government and Culture
